Welcome to The Wren!
Our aim is to create a safe and welcoming space, but even then, the “pre-therapy jitters” are normal. If this work was so straightforward, our field wouldn’t exist. So let’s start by giving ourselves permission to acknowledge that there may be some nervousness getting started, even if we’re keen to do it and we’ve even done it before.
That means you might not remember the policies in our forms or ask the questions that will inevitably come up. We’re here to help with that!
My hope for The Wren was a holistic and responsive approach from the team and the space. Holistic means the whole lifespan, a diversity of approaches, considerate of mind-body connections, and trauma-informed. Responsive means that there isn’t a one-size-fits-all approach to therapy - not for any client or for the therapists on this team. We’re united by our commitment to thoughtful, compassionate care, but the diversity in our ideas, toolkits, and personalities make us better able to meet your needs. Some clients may need a more regimented approach; some more exploratory. You and your therapist will figure out what’s best for you.

Administrative Team
Our administrative team works in person and virtually - they are working and responding to clients from Monday to Friday. You will hear back from any inquiry within 24 hours inside the administration's schedule.
Session Lengths, Frequency, and Fees
Session fees are determined by the centre; session lengths and frequency are determined by you and your therapist. Your therapist will recommend a treatment plan and ask for your input.
Session lengths and fees with our Therapists:
50-minute session fees are $180
80-minute session fees are $288
Session lengths and fees with our Advanced Practice Therapists:
50-minute session fees are $200
80-minute session fees are $320
Please note that your therapist will alert you to your session’s approaching end time, so you can make an informed choice if you’d like to extend your session length (if your therapist’s schedule permits).
Longer sessions (2 hours +) are available as requested, depending on the therapist’s availability and practice.
Payment
We accept payments by credit card (on file) or e-transfer on the day of your session to hello@wrencentre.ca
Please note: weekend sessions will receive receipts on Mondays (except for bank holidays).
Non-payment
As noted in the Payment and Cancellation policy, every client requires a credit card kept on file for non-payment of session fees after 7 days. We will send you a reminder if payment is outstanding and charge your card on day 7.
Emails
Please be aware that email is not a secure platform and can be easily compromised. You can always securely message admin or your therapist from the client portal.
Emails are for scheduling and administrative purposes only. If you have clinical information you would like to convey to your therapist or your child’s therapist, this is a chargeable service and must be done inside session time or by agreement. For example, if you would like your therapist to read an assessment or report, they will charge for this time.
Cancellation Policy
You can cancel your sessions online at wrencentre.janeapp.com
You can also Cancel your sessions by emailing, calling, or texting our administrative team - hello@wrencentre.ca or 343-307-6677.
Please cancel sessions at least 48 hours in advance to avoid a full session fee. With less than 48 hours, our staff do not have time to reasonably reschedule the time slot. As our services are not covered by OHIP, our cancellation policy exists to support timely communication and sustainable work for our therapists.
Snow Days Cancellations
In the event of a “snow day” (heavy snowfall in the Ottawa area), in-person sessions will be virtual or by phone. The 48-hour cancellation policy still applies. You can contact your therapist to let them know you’d like it to be virtual or wait for their email. (Therapists individually decide if they are doing snow day sessions virtually or in person.)
If your session was for a kiddo, it’s a great time to do a parent-update session or ask to explore resources with your child’s therapist.

Confidentiality and Session Notes
In the same way, your doctor doesn’t mention you popped in for a prescription refill, your very presence and what you share with your therapist is confidential (i.e., between you and your therapist).
The limits to confidentiality are safety and supervision. If your therapist is worried about your safety or the safety of someone close to you, they are ethically obligated to do something about it. That is entirely dependent on the situation, and therapists will always work with clients to assess risk. Your therapist’s regulatory body may have specific policies on this and you are welcome to speak with them at any time.
Supervision is a practice that therapists are sometimes required to have and often elect to do. Supervision is a mentorship relationship between two therapists where the Supervisor is qualified (according to their college/regulatory body) to provide guidance on providing the best help possible to their clients.
Sometimes Supervisors are reflected on your invoice/receipt when therapists are in earlier stages of their college’s requirements. These therapists are qualified to provide therapy so long as they engage in supervision.
Sometimes therapists elect to engage in supervision as a dimension of ethical practice and professional self-care, or to learn from colleagues with experience and expertise in a particular profile or area (for example, family therapy or working with CAF members).
If you have any questions about supervision, you are more than welcome to discuss them at any time with your therapist.
Session Notes
Your session notes are your personal medical records. You are welcome to ask for them at any time by emailing your therapist or hello@wrencentre.ca. We will provide them by Secure Messaging in our practice software (Jane) for you to download within 2 business days.
